How to Create a Hoobuy Forwarding Order Without Losing the Parcel Match
A Hoobuy forwarding order is for goods that you or a domestic sender have already purchased, rather than a normal agent order that Hoobuy buys from the seller for you. Hoobuy's current forwarding guide names third-party platforms such as Taobao and Weidian as examples. The essential job is simple: obtain the current warehouse address from the live forwarding page, give that address to the sender, collect the Chinese courier tracking number, and submit that number so the incoming parcel can be matched to your account.
The difficult part is not pressing Submit. It is preserving a one-to-one evidence trail between the seller's dispatch, the domestic courier number, and the forwarding order ID. A seller may split one purchase into several packages, while a large incoming package may later be divided into several warehouse item IDs. Treat those identifiers as different layers, and most forwarding confusion becomes manageable.
Forwarding or agent purchase: choose before the seller ships
Use forwarding when the item has already been bought outside Hoobuy, or when a Chinese merchant, friend, or family member will send it to the warehouse. Use the standard purchasing workflow when you want the agent to place and manage the marketplace order. That distinction matters because forwarding begins with an incoming courier number; a standard agent purchase begins with a product link and purchase instruction. For the latter, use our purchase-to-warehouse status guide.
| Situation | Better starting point | Evidence you control |
|---|---|---|
| You already paid a Taobao or Weidian seller directly. | Create a forwarding order. | Seller order record, destination address, courier name, domestic tracking number. |
| You only have a marketplace link and want the agent to buy. | Use the normal purchasing workflow. | Product URL, options, price shown, buyer notes, agent order ID. |
| A friend or merchant in China is sending goods. | Create a forwarding order after confirming the live warehouse address. | Sender name, contents summary, package count, courier number. |
Before dispatch: build a parcel identity card
Open Forwarding from the current account navigation and read the statement displayed there. Hoobuy's guide instructs users to accept that statement before filling in the form. Then copy the warehouse address from the live forwarding page. Do not reuse an old screenshot, saved note, forum post, or address from a previous shipment. Warehouse recipient details can be operational identifiers, not just a street location; a stale or incomplete line can make account matching harder.
Send the address to the merchant exactly as shown. Ask the sender to confirm three things before dispatch: the number of physical packages, the domestic courier company, and the tracking number for each package. A marketplace order number is not automatically the same as a courier tracking number. If the seller has only created a shipping label, mark it as “number received, movement not yet confirmed” in your own record rather than assuming the parcel is already travelling.
- Marketplace or sender reference and a short, non-sensitive contents description.
- The exact warehouse address copied on the day instructions were sent.
- Courier name, domestic tracking number, and the number of physical boxes.
- The date the seller says the package was handed to the courier.
- Your forwarding order ID after submission, recorded beside—not instead of—the tracking number.
How to submit a Hoobuy forwarding order
1. Open the current Forwarding control
Use the navigation inside the live site or account rather than guessing a direct form route. Read and accept the current forwarding statement before continuing.
2. Copy the current warehouse address
Provide every displayed field to the sender and compare the seller's destination preview with the live forwarding page. Resolve shortened or rejected fields before dispatch; do not improvise a replacement recipient code.
3. Enter each domestic courier number accurately
Hoobuy states that accurate entry helps match product information and reduces follow-up caused by errors. Copy and paste when possible, remove accidental spaces, and compare the first and last four characters with the seller's record. If the seller gives two tracking numbers, enter and record both as separate incoming packages instead of choosing the one that appears first.
4. Submit and save the generated order ID
The official guide says submission generates a forwarding order ID that can be followed in My Orders. It also says each new courier tracking number added represents an additional order ID. Save the mapping immediately. A compact example looks like this:
Forwarding ID A
Two T-shirts
Forwarding ID B
One pair of shoes
This is a relationship map, not a claim about how many QC images or item IDs you will receive. Hoobuy says a package containing numerous or large items may be photographed and stored separately, resulting in multiple IDs. Therefore, one courier number can begin as one forwarding submission and later connect to more than one warehouse item record.
When tracking and warehouse status do not match
A domestic carrier status and a warehouse order status answer different questions. A courier “delivered” scan is not proof that warehouse inspection or storage is already complete, and the public guide does not establish a universal processing deadline.
First, compare the courier number in four places: the seller's dispatch page, the carrier record, your forwarding form, and your parcel identity card. Common user-controlled problems include a transposed digit, a marketplace order number entered instead of the courier number, or a second parcel that was never submitted. A carrier can also replace or add a last-mile number, so retain the original number and note any linked replacement rather than deleting history.
Second, ask the seller whether the order was split. “One checkout” does not mean “one box.” If there are three physical boxes, your evidence should contain three courier numbers or a clear carrier explanation of how they are related. Conversely, if a merchant consolidated several purchases into one box, do not manufacture multiple courier numbers merely to mirror the marketplace order count.
Third, prepare a concise support packet if the numbers are correct but the parcel remains unmatched. Include the forwarding order ID, courier company, full domestic tracking number, delivery date shown by the carrier, sender's package count, and a non-sensitive contents summary. Hoobuy's current contact page lists online support and a customer-support email. Send only what is needed to identify the shipment; remove home addresses, payment credentials, and unrelated order details.
QC, storage, and the next shipping decision
Hoobuy's forwarding guide states that the team categorizes products, takes QC photos, and stores them. Treat those photos as intake evidence, not a guarantee of authenticity, hidden condition, fit, or function. Check whether the visible item, colour, size label, quantity, and obvious condition match your own purchase record. If a needed angle is absent, write a precise question before requesting any available additional service. The QC and storage section explains how to turn a concern into an answerable evidence request.
Keep the forwarding identity trail until every item is accounted for. When one incoming box becomes multiple warehouse IDs, attach each new ID to the original courier entry. When several items remain grouped, list the expected contents and mark each one as confirmed, unclear, or missing. This makes a quantity dispute easier to describe than “my order is incomplete.”
International parcel submission is a later decision. Forwarding does not make packaging choice, route eligibility, actual weight, or volumetric weight disappear. Once intake and QC are complete, compare the current warehouse data and live route options. Do not reuse a historical quote or assume consolidation is always cheaper; a larger box can alter chargeable weight. Continue with the warehouse-to-parcel checklist before paying for international delivery.
A final two-minute forwarding check
- Confirm that forwarding—not agent purchase—is the intended workflow.
- Copy the warehouse address from the current forwarding page.
- Ask how many boxes will be sent and collect every domestic courier number.
- Submit each number accurately and save its forwarding order ID.
- Keep later QC or warehouse item IDs linked to the original courier entry.
- Escalate with a concise evidence packet when verified records still do not match.
- Review QC, packaging, and live route information as separate decisions.
The best Hoobuy forwarding workflow is not the one with the most screenshots. It is the one where every physical parcel has a traceable domestic number, every submitted number has a forwarding ID, and every warehouse item can be connected back to that chain. That structure cannot prevent every seller or carrier problem, but it gives you a clean way to identify where the handoff broke and what evidence is useful next.
